Every hands-on event has the same weak spot: the first hour. People arrive, open their laptops and then wait. A sign-in fails, a company VPN blocks the lab screen, someone never got their account. By the time the room is ready, the energy has gone.
None of this is about the content of the lab. It is about the path from a person’s laptop to a working lab. Fix that path before the day and the first hour becomes the best hour.
A week before: check every device
Send everyone the readiness check. It takes about 30 seconds and tests the three things that break most often: reaching the platform, opening the live lab connection, and how smooth the lab will feel on that network.
Ask people to run it on the laptop they will actually bring, and once on the office network and once on a phone hotspot. If it fails on both, it is the device. If it fails only at the office, it is the network, and the report tells your IT team exactly which address and port to allow.
Three days before: accounts and licences
Lab accounts, cloud subscriptions and licences should exist before anyone arrives. On Gravity Labs, inventory provisioning creates and assigns them for each participant, so nobody shares a login and nobody waits for one.
Do a dry run with one test participant. Open the lab, complete the first milestone, and confirm the score appears.
On the day: one link, one screen
Give people a single link to their event. Participants who registered with a work email land on their organisation’s event page; anyone else can find it from their email in seconds.
Keep the instructions next to the lab, not in a separate document. When the guide and the lab desktop sit side by side, people stop switching windows and start working.
During the event: watch the room, not the clock
Live proctoring shows who is stuck before they raise a hand. Shadow mode lets an instructor see a learner’s lab without taking it over, and Assist lets them step in when it helps. Milestone and task scoring tells you where the room is, so you can slow down or move on with confidence.
The short version
- Readiness check for everyone, a week ahead
- Accounts and licences provisioned before the day
- One link per participant, instructions beside the lab
- Proctoring and live scores to see the room
Do these four things and the first hour belongs to learning again.
